Who handles your information

K2016481516 SOUTH AFRICA (PTY) LTD, registration 2016/481516/07, operates Thornville Junction’s rental service. Registered address: 10 Plumbago Terrace, Westwood Estate, Westville, Durban, 3629, South Africa. For privacy questions, access, corrections or deletion requests, contact zaxx.im@gmail.com or 071 888 1222. We may ask you to verify your identity before releasing account information.

What we use and why

We use your name, contact details, account credentials, application, saved layout and requested supporting information to answer enquiries, assess your application, prepare and administer the lease, provide services and keep billing records. Lease acceptance and payment events form part of the contract record. Processing is limited to the appropriate contractual, legal or other lawful basis under POPIA. Application contact permission does not opt you into unrelated marketing.

Provide only requested documents. ID and financial files are not universally required by this website: the letting team should explain any specific need. You may redact unrelated financial information. Do not upload passwords, card details or information about someone else without authority. If required application details are not provided, we may be unable to complete the assessment.

Visits, notifications and your business profile

Viewing requests include your chosen time, contact details and optional visit notes. The team can approve, suggest another time or cancel. Your private management link lets you change the request; keep it private. Service emails may cover appointments, applications, account recovery, invoices and lease reminders. An email delivery provider processes recipient details and message content when enabled. Delivery records and encrypted queued messages support reliable service and troubleshooting.

Tenant maintenance and renewal requests stay within the private tenancy workspace. A business directory entry is optional: only the business name, description, category and contact links you choose are published after your consent and staff review. You can withdraw it in your account. Owner-uploaded property photos and verified plot facts are public; please avoid including private personal information in public material.

Shortlists, promotion sources and handovers

A guest shortlist uses the existing browser session; signing in keeps it privately in your account. You can remove saved plots at any time. Promotion links may carry source, medium and campaign labels. We retain the first and latest eligible tagged source in the session for up to 30 days while that session remains available, then save those labels with submitted enquiries and viewing requests. Executed tenancy reporting uses the application’s recorded source. We do not add advertising pixels, fingerprinting, IP tracking or full browsing-history logs for this feature.

Private handover records contain condition checks, access instructions, dated photos, correction requests and tenant acknowledgements. Shared versions are retained as evidence with the tenancy record. Photos and sensitive handover contents are encrypted outside public access; shared versions cannot be silently changed. Acknowledging a handover records your review and observations and does not waive your rights or change the lease.

Optional anonymous planning counts

To improve the planners, we count visits, first planner interactions, saved designs and submitted requests once per section per browser session each day. A random key changes daily. These records contain only the section, step, date and eligible promotion labels; no name, email, account ID, IP address, private link, page-by-page history or design contents are included. Records expire after 90 days. Business enquiries and payments remain separately recorded to provide the service.

We skip these counts when your browser sends Do Not Track or Global Privacy Control. You can also turn them off for this browser session below; clearing cookies resets this preference. This does not affect your account or application.

Your farms and harvests

Farm designs, crop choices, billing details, agreed spending limits, work records, rainfall and water measurements, harvest weights and collection requests support your requested growing services. Invoice snapshots, billing addresses and delivery or settlement details are encrypted in storage. Farm designs saved on this device can be reset in the designer; account copies are separate. Keep your private farm journal link confidential: anyone with it can read the journal and respond to quotes. The team shares agreed delivery or buyer details only as needed to arrange the service; the site does not book transport or transfer payouts automatically.

Chicken yards, collection and delivery

Saved flock plans, purchased goods, care records, egg counts, processing and delivery requests are used to provide the services you request. Delivery addresses and booking/settlement details are encrypted in storage. Your private flock link can be used by anyone you give it to; keep it private. Requested processors, buyers or transport providers receive only the details needed to fulfil your agreed service. The site does not send those details or book transport automatically. Dated records of completed work and payments may need to be retained with the transaction.

Access and service providers

Your rental workspace is restricted to your account and authorised staff. Supporting files are stored outside public website files with encryption; owner-filed municipal records are private. Hosting and payment providers may process information needed to deliver these services under appropriate arrangements. Payfast receives payment information when you proceed to its hosted checkout; this site does not store card numbers. WhatsApp and map links open external services under their own privacy terms.

We do not sell your information. We may disclose it where required by law or necessary for the contract or a properly handled dispute. Any cross-border hosting or service processing must meet applicable POPIA requirements.

How long we keep it

Viewing requests, service-message records, unsuccessful or withdrawn applications and their supporting files are reviewed for deletion after 180 days, unless a documented legal or dispute-related reason requires longer retention. Executed leases, invoices, receipts and related evidence are retained for applicable tax, contractual and legal periods, then reviewed for secure disposal. Retention reviews and legal holds are handled by the landlord; deleting a draft is not a request to erase required accounting records.

Your choices and rights

You can ask for access, correction, an explanation of processing, objection to processing where applicable, or deletion where retention is no longer justified. Some pending supporting files can be removed from your workspace. Contact the privacy address above for other requests and for the company’s PAIA access process. You can also complain to the Information Regulator.

Shop ideas and the community survey

Saved shop layouts and business ideas are private to your account. When you attach a saved design to a shop enquiry, a snapshot is shared with authorised staff to discuss your requirements. You can remove saved designs in My shop ideas; this does not erase an enquiry already submitted. Staff follow-up dates and notes are private.

The optional community survey collects up to three service preferences, a broad area and a transport choice. It does not ask for names or contact details. A year-long browser cookie and its keyed hash limit duplicate submissions, with ordinary request rate limiting. Only combined service counts are published, after at least five responses. The open survey is not a population estimate or a guarantee of demand. To request removal of your anonymous survey response, contact us from the same browser so we can help identify its cookie; you can remove the cookie using browser settings, but that alone does not remove a submitted response.

Optional opening alerts and business budgets

Opening alerts are separate from the anonymous survey and rental applications. We store your email encrypted, a keyed email hash to avoid duplicate subscriptions, your selected service categories and consent/confirmation dates. Confirmation is required before announcements are sent. Emails are not shared with tenants; they see aggregate interest only. Every opening email links to your private preferences and unsubscribe page. We check current consent before sending queued announcements. Unsubscribe stops further opening announcements. Pending confirmations and withdrawn subscriptions are reviewed for deletion after 180 days, except a minimal suppression record where necessary to honour your choice. Contact us for access or deletion.

Business budgets use the assumptions you enter and the current advertised shop rent. Account budgets are encrypted and private, can be removed in My shops, and are not published or shared with potential tenants. Public construction milestones show recorded completion evidence and dates; private worker assignments and daily task notes are not published. Traffic observations contain aggregate passing counts, place, time, method and conditions, with no tracking of individual people or vehicles. Tenant launch pages, business hours and contact details are optional, reviewed before publication, and can be withdrawn by the tenant.

Cookies and website services

Session and security cookies support sign-in, forms and optional remembered login. Browser storage saves planner drafts on your device; signed-in saves are also kept in your account. Google Fonts is requested by the public site and may receive ordinary connection information. This rental workflow does not add advertising trackers. Private pages are excluded from search indexing.

Never share your password or private application link. Report suspected account access or document exposure promptly to the privacy contact.
